Position Overview

As an Operations & Logistics Assistant Manager, the employee is required to perform all necessary job functions and duties, along with any other duties that may be assigned from time to time.

The employee is expected to perform all duties to the best of their skills, experience, and talents. In carrying out these duties and responsibilities, the employee shall comply with all company policies, procedures, rules, and regulations, both written and oral, as announced by the company from time to time.

This is a full-time position expected to average 40 hours per week, although hours may vary depending on the work season.

Bilingual Requirement

Applicants must be bilingual in English and Spanish and able to communicate clearly and professionally in both languages.

Responsibilities

Product Knowledge and Backend Office Mastery

  • Stay up to date with our rental inventory and service offerings.

  • Learn and utilize the backend systems of Event Office, HighLevel, and Event Hawk invoicing and CRM software.

  • Gain proficiency in auditing EO pull sheets daily, tracking inventory, and reviewing client databases.

Dispatch, Scheduling, and EO Management

  • Co-build and manage daily and weekly schedules for deliveries, installations, and pickups from the ILM and Hampstead locations.

  • Assist operations leadership with assigning drivers, vehicles, and crews based on event timing, installation complexity, load requirements, employee skill level, and venue restrictions.

  • Audit EO pull sheets daily with team leads and update crew and vehicle assignments before departure.

  • Ensure all schedule, staffing, vehicle, and delivery changes are accurately reflected in EO.

Routing, Coordination, and Delivery Communication

  • Monitor routes, ETAs, weather conditions, equipment issues, and last-minute event changes.

  • Communicate operational changes to planners, venues, and internal departments.

  • Serve as the operational bridge between Hampstead and ILM to reduce unnecessary travel, delays, and duplicated work.

ILM Warehouse Operations

  • Help oversee the staging, loading, and unloading of trucks to ensure pull sheets are accurate and complete.

  • Maintain a clean, organized, and safe warehouse with clear zones for tents, lighting, furniture, bars, dance floors, specialty items, and cleaning areas (“dirty zones”).

  • Coordinate closely with the warehouse team on the order of loads, special tools—including Tent Ox equipment, lifts, anchors, and rigging hardware—and tool checkout and return processing.

  • Spot-check major jobs and key items before trucks leave, including structure tent components, sidewalls, lighting fixtures, dance floors, specialty items, and bar elements.

Quality Control and Client Readiness

  • Ensure all equipment leaving ILM is event-ready: clean, complete, and properly packed.

  • Verify that crews understand venue-specific notes, including diagrams, access, parking, anchor points, no-stake areas, rigging approvals, and power access.

  • Make sure client expectations and special instructions are reflected in load lists and crew briefings.

  • When necessary, reach out to clients and planners to request diagrams or discuss expectations so the information can be properly documented and communicated to team leads.

  • Visit project and job sites as needed.

Staff Development

  • Lead weekly huddles with the Operations Director and Department Leads to review upcoming pressure points, large events, and needed adjustments.

  • Assist operations leadership with managing route performance, overtime, and re-deliveries to identify patterns and propose improvements.

  • Help refine and roll out standard operating procedures, checklists, and seasonal procedures for ILM operations and dispatch.

  • Support the development of future leads and managers by providing clear feedback and growth paths.

Compensation and Overtime

  • Starting pay is $20.00 per hour.

  • Based on 40 hours per week, estimated annual gross compensation is approximately $41,600.

  • Estimated semi-monthly gross pay is approximately $1,733.33 before required deductions.

  • Hours worked over 40 in a workweek will be compensated at one and one-half times the regular hourly rate, or $30.00 per hour, in accordance with applicable federal and state labor laws.

  • All overtime must be approved in advance by the employee’s supervisor.

  • Employees must accurately track and report all hours worked.
